What to Look for in an Event Staffing Agency (And What to Run From)

Most Event Staffing Agencies Are Middlemen. Find One That Isn't.

Let's start with an uncomfortable truth about the event staffing industry: most agencies are essentially matching services. They maintain a database of people, send out a mass text when a gig comes in, and hope enough bodies show up.

That's not staffing. That's a prayer.

If you're spending real money on events — and most brands are — your staffing partner should be doing a lot more than filling slots. Here's what to look for.

Green Flags

They Can Explain Their Vetting Process in Detail

Ask any agency how they vet talent. If the answer is vague ("we have a rigorous screening process") without specifics, that's your first warning sign.

A good agency should be able to tell you exactly what their screening includes: background checks, skill assessments, reference calls, interview format, and ongoing performance evaluation. If they can't walk you through it step by step, they probably don't have one.

They Assign Dedicated Field Management

Field managers are the unsung heroes of event staffing. They're on-site, they know the staff personally, they handle problems before you even know they exist, and they're the difference between a smooth event and a chaotic one.

If an agency isn't offering field management as part of their service, you're essentially managing the staff yourself. And if you wanted to do that, you wouldn't need an agency.

They Ask More Questions Than You Do

When you reach out for a quote, pay attention to what happens next. A good agency will ask about your brand, your goals, your audience, your event format, and your past staffing experiences. They should be trying to understand the context, not just the headcount.

If the first response is a rate sheet with no questions asked, you're being treated as a transaction, not a partnership.

They Have Market-Specific Talent

Nationwide coverage doesn't mean anything if the agency is scrambling to find people in your event city. Ask about their talent pool in the specific market where your event is happening. How many vetted staff do they have there? When was the last time they staffed an event in that city?

They Provide Post-Event Reporting

After the event, you should receive more than an invoice. Expect a recap that includes staff performance notes, any issues encountered, attendee engagement observations, and recommendations for future events. This is how good agencies differentiate themselves from the body shops.

Red Flags

"We Can Staff Anything, Anywhere, Anytime"

No agency can do everything perfectly. The ones that claim they can are usually the ones cutting corners. Look for agencies that are honest about their strengths and realistic about timelines.

No Client References

If an agency can't provide references from clients in your industry or event type, proceed with caution. Ask for specific examples of similar events they've staffed.

Rock-Bottom Pricing

Event staffing has real costs: recruitment, vetting, training, insurance, payroll, field management, and coordination. If someone is quoting you rates that seem too good to be true, they're cutting somewhere. Usually it's on talent quality or reliability.

High Staff Turnover

Ask about their staff rebooking rate. Agencies that treat their talent well have high retention. Agencies that don't have a revolving door. High turnover means you're constantly getting first-timers instead of experienced professionals.

The Question That Reveals Everything

Here's the single best question to ask a potential staffing agency: "What happens if a staff member doesn't show up?"

The answer tells you everything about their backup systems, their field management capabilities, and how seriously they take reliability. A good agency has contingency plans built in. A bad one will give you a blank stare.

Choose Partners, Not Vendors

The best staffing relationships are long-term partnerships where the agency deeply understands your brand, your events, and your expectations. It takes a few events to build that understanding, so think beyond the single gig when making your choice. The agency that's slightly more expensive but delivers consistently will save you money in the long run compared to cycling through cheap options that disappoint.
